Sales & Admin – Job Description

Main Task:

  • Sales duties - Act as the connecting piece between the customer and the Salesperson by doing things like keeping track of customer information, dealing with invoices, chasing up overdue payments, and monitoring ongoing projects.
  • Administrative duties - Checking of the time spent of the production team and monitoring and updating trackers to ensure that all tasks are attended on time and accordingly.
  • Project duties – upon confirmation of quote to our customer, creation of project brief in Jira system and assignment to Project Management team, monitoring projects, and following-up with internal PM Teams.

 

Sales Administrator Duties and Responsibilities:

  • Issuing SX or Creating Opportunity by registering all the necessary information about the client into the Timesheet system.
  • Adding, Opening, and Internal Invoicing of projects so other teams can be able to access a specific line to record their work logs or issue the PO.
  • Creation of Quote. It is a preliminary bill of sale and the document that the company

provides to our clients such as services at a stated price, under specified conditions.

  • Processing Invoicing plan by specifying when and for which amount need to create an invoice.
  • Ensuring the language lines are linked to its respective language so the Linguistic Admin team can process or issue the PO.
  • Coordinating with the Clients to manage the purchase order and sending reminders for the late payments for the issued invoices.
  • Creating Tickets for tech tasks and Trados tasks.
  • Creation Quote Template by indicating all the price details of the services demanded by the client.
  • Preparation of Launch brief.
  • Preparation of Trados Analysis using Go Analyze to identify the volume or number of word counts of a given source file by the client.
  • Checking of work logs and summarizing the total timespent rendered by production and QA team.
  • Supporting the sales team with other administrative tasks specifically on updating monitoring and trackers.

 

Minimum Qualifications:

  • College graduate in Business Administration/Accounting
  • 1 to years working experience as a Sales Admin
  • Advance knowledge in Excel and Powerpoint
  • Excellent work ethics, and committed to quality.
  • High attention to details.
  • Have good written and oral communication skills
  • Open to work in a multicultural environment.
  • Residing within Metro Manila
